The transition to Workday Student brings exciting improvements to the student experience at SJC, and we know you may have questions along the way. Find answers to common questions about what to expect and how Workday Student will impact your work.

General Questions
A Student Information System, or SIS, is the technology colleges use to manage student and academic information. It supports processes such as registration, academic records, advising, financial aid, student accounts, and other services throughout a student’s time at SJC.
Workday Student is SJC’s new Student Information System. It will bring many student and academic processes into one connected system, providing a more user-friendly and mobile-friendly experience for students, faculty, and staff. SJC already uses Workday for Human Resources, Finance, and Payroll. Workday Student expands the system to support student and academic processes.
Workday Student will provide SJC with a modern, connected system for managing student and academic information. The transition will help streamline processes, improve access to information and reduce duplication while supporting a more connected experience for students, faculty and staff.
Workday Student will gradually replace Colleague (Self-Service) and some other systems currently used for student and academic processes. Not every system or process will move to Workday Student, and some existing systems will continue to be used.
As the transition progresses, SJC will provide information about which system to use for specific tasks.
Workday Student will roll out in phases through 2027, with different areas beginning to use functionality at different times. For example, School Operations Coordinators will begin using Workday Student in October 2026 to build course sections for Fall 2027. Registration and Records will begin using additional functionality in March 2027, and advisors will begin using Workday Student to support students enrolling for Fall 2027 beginning in May.
Students and faculty will also begin using Workday Student functionality at different points throughout 2027. The transition will continue in phases as more processes move into Workday Student.

No. The transition will happen in phases, so Colleague and Workday Student will both be in use for a period of time. Which system you use will depend on the task you’re completing and the academic term.

Information to Share with Students
Beginning with registration for Fall 2027, students will use Workday Student to search for classes, build their schedules, and register. More information and resources will be available before registration moves to Workday Student.
Workday Student will bring financial aid and student account information into the same system as many of their other student and academic processes. As these features become available, students will receive information about how to view financial aid, manage their student account and make payments in Workday Student.
No. Students will not apply to SJC through Workday Student. SJC will continue using its current application system through April 2027 and will then transition to Slate for applications. Application information will flow into Workday Student to support admissions and enrollment.
Yes. Student and academic information will move to Workday Student as part of the transition. This will allow students to access important information about their academic record and progress in one connected system.
Students will begin using Workday Student for different activities in phases throughout 2027. Registration for Fall 2027 will be in Workday Student. In July 2027, students will begin making payments through Workday Student and can set up payment plans for Fall 2027.
For Faculty & Staff
Yes. Training and resources will be provided before you need to use new Workday Student functionality. Training will be offered close to when you’ll begin using specific features, giving you time to learn, practice, and prepare. Training information, tip sheets, and other resources will be available through MySJC.
Workday Student will roll out in phases. Some staff will begin using Workday Student functionality in Fall 2026, with additional functionality introduced through Spring 2027. Faculty will begin using Workday Student in 2027, with functionality introduced in phases through Fall 2027.
More details about when faculty and staff will begin using specific Workday Student functionality will be added as we move through the project.

During the transition, Colleague and Workday Student will both be in use. Which system you use will depend on the task you’re completing and the academic term. SJC will provide information and training as processes move to Workday Student, so you’ll know which system to use and when.
Faculty will continue using current systems and processes through Summer 2027. Beginning in Fall 2027, faculty will use Workday Student for tasks such as viewing class rosters, verifying participation, and entering grades. Training and resources will be provided before you need to complete these tasks in Workday Student.
Beginning in 2027, advisors will start using Workday Student to support students enrolling for Fall 2027. Workday Student will provide advisors with access to student and academic information in one connected system to help support students as they plan and track their academic progress.
